Authentic Spice LTD provides event catering services in Accra, Ghana. For the personal information described in this policy, Authentic Spice LTD is responsible for deciding why and how that information is used.
This policy applies to authenticfoodsgh.com, the catering enquiry form on that site, and communications handled through Authentic Spice LTD’s connected Meta services, including Instagram messaging where used.

Information we handle
Catering enquiries
When you send a catering brief, we receive the information you enter: event type, event date, venue or location, approximate guest count, preferred service style, name, email address, phone number, and your message. The website also records the time the enquiry was submitted and creates a reference for it.
Connected Meta messaging
If you contact us through a connected Meta service, such as Instagram Direct, we may receive the information made available for that conversation. This can include your Meta or Instagram account identifier or username, your message and its time, and the replies needed to manage the conversation. We do not use this connection to ask for information unrelated to your enquiry.
Basic technical information
When you visit the site, the systems delivering and protecting it may process ordinary request information such as an IP address, browser or device type, requested page, date and time, and security or error logs. We use this information to deliver the site, maintain reliability, and protect it from abuse.
We do not ask for payment-card details on this website. The site does not offer user accounts and we do not use the catering brief to add you to a mailing list.

How and why we use information
- to receive, review, and respond to catering enquiries;
- to understand an occasion and prepare relevant service or menu next steps;
- to continue a conversation you start through the website or a connected messaging service;
- to maintain records needed to manage an enquiry or service relationship;
- to operate, secure, troubleshoot, and improve the reliability of the site and connected communications; and
- to meet legal obligations or respond to lawful requests where required.
We use personal information where it is needed to take steps you request, to provide or discuss our services, to meet legal obligations, or for legitimate operational and security purposes that do not override your privacy rights. Where consent is required, you may withdraw it.

Retention and security
We keep enquiry and messaging information only for as long as reasonably needed to respond, manage the potential or actual service relationship, maintain necessary business records, resolve disputes, protect the service, and comply with law. Retention may differ depending on whether an enquiry becomes a booking and whether a legal record must be kept.
We use reasonable organisational and technical safeguards appropriate to the information we handle. No internet transmission or storage system is completely secure, so we cannot promise absolute security.

Your choices and rights
Subject to applicable law, including Ghana’s Data Protection Act, 2012 (Act 843), you may ask us to:
- confirm whether we hold personal information about you and give you access to it;
- correct information that is inaccurate or incomplete;
- stop or object to certain processing;
- delete information when there is no lawful reason to keep it; or
- explain how your information has been used.
We may need enough information to identify you and locate the relevant enquiry or conversation. We will not ask you to provide more information than is reasonably necessary for that purpose.

How to request data deletion
You can request deletion of personal information received through the website or a connected Meta service at any time. Use the Catering Brief on our website, choose “Other” where appropriate, and write “Privacy request — delete my data” in the message. Include the email address, phone number, Instagram username, or enquiry reference associated with the information so we can locate it.
We will review the request, verify it where needed, and delete or de-identify information that we are not required or permitted to retain. If some information must be kept for legal, security, dispute, or record-keeping reasons, we will limit it to that purpose and explain this where applicable.
Removing a conversation or disconnecting an app within Meta does not necessarily delete copies already received by Authentic Spice LTD; please use the process above to ask us directly.

Contact and complaints
Authentic Spice LTD has not published a dedicated privacy email address. To ask a privacy question or exercise a right, use the existing Catering Brief and begin your message with “Privacy request”. This is the site’s current contact method.
If you are not satisfied with our response, you may contact Ghana’s Data Protection Commission through the contact information published at dataprotection.org.gh.
